General Manager:-

An exciting opportunity has arisen to join our client’s team. As a successful candidate you will have a proven track record of effective management within this sector.
 

PURPOSE OF JOB:
To oversee the day-to-day activities and functioning of our client’s house by supervising all staff members on site, facilitating communications and joint working between all parties involved in the care planning and safeguarding of our young people.

To ensure all company policies and procedures are updated in-line with current legislation and adhered to at all times by all staff members.

To arrange regular training in line with company expectations for all staff members, including regular six weekly supervisions.

To maintain the company rota, ensuring there is adequate cover at all times

To communicate and liaise effectively and accurately both internally and externally to ensure that relevant, up-to-date communication is shared and processed.

To update and develop systems and procedures to ensure the effective running of the business.

To develop and maintain close working relationships with external bodies including Local Authorities, Social Workers and Training Providers in the deliverance of information regarding our Young People.

To be responsible for the day to day management of all operational services within the project by ensuring the provision of a 24 hour, 7 day support service.

Diary management, including arranging and confirming appointments for the Managing Director and the Company Director.

Liaising with and updating external bodies regarding updates on Young People as and when required in order to ensure the sharing of information is maintained.

Communicating with professionals on a variety of levels, liaising with social workers and family members for sensitive discussions regarding our clientele

To ensure a high level of accuracy remains when liaising both internally and externally with professional bodies.

Monitoring and reviewing the content of all resident and personnel files, and providing written reports and updated documentation where required.

Effective communication and information sharing between professionals and Young People including common understanding of the key terms and objectives for positive outcome

 

 

To manage own time and deliver objectives and targets ensuring the development of professional practice and updating personal knowledge of local and national initiatives.

Accountable for the safekeeping, correct use and maintenance of the resources used including office phones, cleaning materials, subsidence items, manual data, and IT equipment including laptop.

Completing general cleaning and maintenance duties when required.

Aiding with room preparation and clearance when necessary.

Completing Health and Safety checks on Young Peoples rooms, ensuring clean and tidy. Working alongside Young People to ensure any tasks identified are completed.

Following company protocol when assistance is required. Ensuring all relevant bodies/professionals are informed / contacted and relevant internal forms completed (i.e. Incident Report form)

ADMINSTRATIVE WORK

To ensure all reports are completed and accurate

Organise and schedule appointments

Plan meetings and take detailed minutes

Write and distribute email, correspondence memos, letters, faxes and forms

Develop and maintain a filing system that is understandable to other staff members

Assist in the preparation of regularly scheduled reports.

Update and maintain office policies and procedures

Maintain contact lists.

Act as the point of contact for internal and external clients.

Liaise with team members, supporting them in work supervisions, appraisals and reviews

Organise staff training and development relevant to the staffing progress.

Liaise with Company and Managing Director to handle requests and queries.

CREATIVITY AND INNOVATION:

Demonstrate a creative and reflective approach to the delivery of services.

Continuously demonstrate and develop better understanding of ethical issues in relation to working with young people. (e.g. Confidentiality, Child Protection and equal opportunities, etc).

To undertake training and development activities on own behalf, as identified in reviews with line manager or by self and agreed with Managing Director.

CONTACTS AND RELATIONSHIPS:

To attend meetings as required by the Managing Director and Company Director

To liaise with colleagues so that a continued, relevant support system is in place regarding our Young People.

Provide support to Young People through regular contact, monitoring and review of individual progress

DECISIONS:

If working independently, to apply own judgement using own initiative to make decisions should the situation require it whilst following our client’s guidelines.

That adequate consequence is implemented when necessary and communicated to other team members.

To understand our client’s policies and procedures ensuring you have effectively understood all legislation and Child Protection Acts.

WORK ENVIRONMENT:

Work Demands - Regularly meet agreed and imposed deadlines for reports, information/ data collection and performance management. To effectively manage the workload, demonstrate good time management and provide on call cover as required.

Working Conditions –To ensure Byrne House Ltd’s safety protocol is followed at all times by ensuring Young People are not given access to the office or its contents unless previously agreed with the Managing Director.

Evening and weekend on-call duties are a requirement of the role including phone support.

Work Context - Working alongside Young People there is a risk of verbal and physical abuse/violence from the Young Person from which Health and Safety issues may arise. At these times company procedure must be followed and adhered too, ensuring all relevant bodies are notified and informed.

KNOWLEDGE AND SKILLS: The post holder will be expected to have:

   interpersonal skills
- Vast, knowledgeable administrative skills, including use of Word, Excel and Power Point

   with an ability to maintain a high level of accuracy in preparing and entering information.

- Ability to communicate at a high level orally and in the written form with effective verbal

and listening communication skills

- Able to work as part of a team and on own using own initiative

- Excellent attention to detail and high level of accuracy
